As a payroll software company, we have a few primary objectives here at Dominion Systems: offer the most intuitive payroll software available, keep pricing as affordable as possible for our clients, and above all else, ensure all sensitive information we handle on a daily basis is kept as secure as possible. We manage all of these objectives by having a team of dedicated employees that are constantly working to keep us ahead of the curve. For instance, we’ve recently made the decision to switch to pressure seal forms in order to improve the efficiency of our check delivery and increase the protection of confidential information.
So what are pressure seal forms?
A pressure seal form is an alternative to having traditional forms such as checks, W2’s and 1095s stuffed in an envelope with a window that reveals the recipient’s name, address, etc. Pressure seal forms only require a single document that folds in half and undergoes cohesion to seal against itself. There is then a perforated edge on three sides that allow the recipient to open the document. This system reduces processing time, increases security, and is much more environmentally efficient. Read on to see how.
With this new pressure seal system, there is no excessive time spent folding, stuffing and sealing envelopes. What’s more, addresses are printed directly onto each form, thereby eliminating the need for window envelopes. With the appropriate mailing software, you can print “intelligent barcodes” directly onto the form and save time and money on adding postage.
With the cohesive edges that the pressure seal offers, you’ll find the seal is much more effective compared to your traditional window envelopes. You also eliminate the risk of accidentally inserting two documents into one envelope or sending the envelope to the wrong recipient. Add that to the fact that sensitive information such as social security numbers can’t be “peeked” at through the window of a traditional envelope and it’s easy to see why this is the safer method.
Save Money - And the Environment!
By removing the need for envelopes of any kind, you’re going to save a lot of money and diminish the amount of paper waste your company is contributing to. Some companies have found that they can reduce the cost of processing by almost 50%!
As more and more businesses are switching over to pressure seal documents, don’t you think it’s time for you to do so as well? If your payroll provider doesn’t offer that option, now might be the time for you to evaluate your payroll process. After all, nothing is more important than the security of your business and its employees.
